1. About This Policy

This Privacy Policy describes how SearchPro Systems ("we," "us," or "our") collects, uses, and protects information in connection with SearchProRT — our SEO rank tracking dashboard available at reports.searchprosystems.com. By using SearchProRT, you agree to the practices described in this policy.

2. Information We Collect

We collect the following categories of information:

  • Account information: Your name, email address, and hashed password when you create an account.
  • Google Search Console data: When you connect a Google Search Console property via OAuth, we access search query data, click counts, impression counts, average positions, and page performance metrics for the properties you authorize.
  • Google Analytics 4 data: When you connect a Google Analytics 4 property via OAuth, we access session counts, user counts, traffic source data, and engagement metrics for the properties you authorize.
  • Keyword and ranking data: Keywords, target locations, and corresponding search engine ranking positions retrieved via DataForSEO.
  • Usage data: Log data such as IP addresses, browser type, and pages visited, collected automatically when you use the service.

3. How We Use Your Information

We use the information we collect to:

  • Display ranking performance, GSC metrics, and GA4 metrics in your dashboard
  • Generate and deliver SEO performance reports to you and your clients
  • Send scheduled report emails and ranking alerts you configure
  • Provide AI-powered keyword suggestions (processed via Anthropic's Claude API)
  • Maintain and improve the service, diagnose technical issues, and ensure security

We do not use your Google data to serve advertising, train machine learning models, or for any purpose unrelated to providing SearchProRT's core functionality.

4. Google API Services — Limited Use Disclosure

SearchProRT's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only request Google data scopes necessary for the features you use (GSC and GA4 metrics display)
  • We do not share Google user data with third parties except as necessary to operate the service
  • We do not use Google user data for advertising purposes
  • We do not allow humans to read your Google user data unless you explicitly authorize it or it is required for security purposes

5. Data Sharing and Third Parties

We do not sell, rent, or trade your personal information. We share data only with the following service providers, solely to operate SearchProRT:

  • DataForSEO — keyword ranking data retrieval
  • Anthropic — AI keyword suggestions (no Google data is sent)
  • Resend — transactional email delivery
  • DigitalOcean — cloud hosting infrastructure

We may disclose information if required by law or to protect the rights, property, or safety of SearchPro Systems, our users, or others.

6. Data Retention

We retain your data for as long as your account is active. Ranking history and report data are stored to provide historical trend analysis. If you close your account or request deletion, we will remove your personal data within 30 days, except where retention is required by law.

7. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Revoke Google OAuth access at any time via your Google Account permissions

8. Security

All data is transmitted over TLS (HTTPS). Passwords are hashed using bcrypt and never stored in plaintext. Access to production systems is restricted to authorized personnel. OAuth tokens are stored encrypted and are used solely to retrieve data on your behalf.

9. Children's Privacy

SearchProRT is intended for business use only. We do not knowingly collect information from individuals under 18 years of age.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date above and notify active users via email or an in-app notice. Continued use of SearchProRT after changes take effect constitutes acceptance of the revised policy.
